Booking Terms and Conditions
None of our terms and conditions affect your statutory rights.
Requirements for the Hiring Party
Please Note
our campervans cannot be taken to Festivals, music or other such events. Our campers are fitted with trackers and if it is found that a vehicle has been taken to Festival, you will automatically have your security deposit retained.
Hiring Requirements
Driver must have held a full driving license for at least two years.
Driver should be over 25 years of age and under 75 years of age.
Security Deposit must be made by a traceable method and cannot be made in cash.
Driver is liable for the insurance excess of £1000.
Proof of hirers identity and permanent address will be required – two forms of ID from the following list
- Council Tax Bill/Statement
- TV/Internet/Landline telephone bill (including Sky/Virgin/BT etc)
- Bank Statement
- Credit Card Statement
- Mortgage Statement
The proofs of address must be dated within the last 90 days and have the same address as the driver’s licence.
Copies of front and back of driver’s licence will be required, along with DVLA code for online check.
The Insured Vehicle shall not be let out on hire to or be driven by: –
- Persons who have been convicted of an offence in connection with the driving of a
motor vehicle or motorcycle and/or have had their driving licence endorsed or
suspended or more than 6 penalty points imposed. “Spent” convictions, covered by
the Rehabilitation of Offenders Act 1974 may be disregard.
- Persons who have had their insurance declined and/or renewal refused and/or special insurance terms imposed as a result of claims experience and/or have had their
insurance or cover cancelled by any Motor Insurer.
- Persons engaged wholly or partly in professional entertainment or professional sports
persons.
- Jockeys and persons connected with racing, gaming industry or press of any sort.
- Persons who, whilst driving, have been involved in more than one fault accident during
the past 3 years.
- Foreign Service Personnel other than persons holding a full UK/EU licence for 2 years
or more.
Any medical illnesses that may impact the driving and hiring of the vehicle must be stated before the confirmation of the booking or the deposit may not be refunded.
Follow the Highway Code and treat the vehicle with respect during the rental period.
Do not alter the contents of the van and make sure the OVC team are aware of any loses or breakages.
While hiring the vehicles the hiring party are responsible for checking water/oil/coolant through every 1000 miles travelled.
Hire periods include a daily mileage allowance of 100 miles. Miles used over the allowance will be calculated on return of the vehicle and will be charged at 25p per mile. With your agreement this can be deducted from the security deposit before it is returned to you.
Before the hiring party set off on their holiday, they will be required to do a walk around van check and sign an OVC Go Form confirmation agreeing to any marks and scratched already on the vehicles.
Making a booking
Booking your camper adventure couldn’t be easier! Just have a look at our campers, choose the one that is right for you then check out the calendar to see if it is free, select your dates and submit your booking!
Occasionally the campervan may be unavailable for your chosen dates which will be added to the calendar, if it hasn’t been added on and we cannot accept your booking we will aim to rectify the situation by offering alternative dates or an alternative campervan. This however will only happen in exceptional circumstances.
Confirmation of booking
Please allow up to 5 working days for your booking to be confirmed. If it is a last-minute booking, please call to discuss. A confirmation email will be sent to you with the relevant information for your booking, followed by a payment request.
A 25% deposit is required to confirm your booking. The balance will be due 6 weeks before your trip starts.
If your trip starts less than 6 weeks ahead, full payment is required to confirm your booking.
Extras can be added and paid for up to 2 weeks before your trip starts.
You will also be required to pay a £1000 security deposit
Returning the vehicle
When returning the vehicle, it should be in the same condition as it left, with rubbish bagged, toilet emptied and laundry in a red wash bag, ready for cleaning and another customer.
The vehicle should have a full tank of fuel. We will send details of local fuel stations in your email and also in the OVC Handbook in the campervan.
Once the vehicle has been checked and cleaned, we will contact you to arrange return of your security deposit. This can take up to 5 working days, also allowing for traffic and driving violations to be received.
There will be a walk round and sign again of the OVC Go Form before the customer is able to leave.
Liability of your vehicle*
While your vehicle is at our Oak Valley Campers Office, although there are cameras, leaving the car and its contents is at your own risk. We do ask for you to leave a set of keys if for any reason we should need to move it.
Liability of our campervans
While in your care you are in sole charge of the campervans, all are covered by RAC Breakdown cover and Insurance*. However, if something should happen to the van internally you will lose your deposit and potentially have to pay more towards rectifying the breakage. If something happens to the van externally, this can be discussed, and the insurance excess may be taken out of your deposit.
Cancelling your booking
We appreciate that sometimes bookings need to be cancelled through no fault of your own, we will do our very best to support your cancellation. Your deposit is non-refundable. Cancellations made more than 4 weeks before your trip dates will be refunded excluding your deposit. Cancellations made within 4 weeks of your trip dates will not be refunded unless we are able to resell your dates. In this case we will issue a refund to you, based on the price of the replacement booking (Late notice offers are usually sold at a reduced rate).
If you would like to transfer your booking, we will try to accommodate this. There will be no refund if the new booking is for dates at a lower price. If you wanted to transfer your booking to another hirer, we would need a new booking form to be completed with all the details required in our Hiring Requirements.
For any changes to your booking ie. transfer of dates, change of driver etc there will be an admin fee of £25 per change.
We reserve the right to cancel your booking if our Hiring requirements are not met.
Personal Belongings
Your personal belongings are not covered by our campervan insurance. They may be covered by your home insurance. We would recommend that you check your home insurance before the start of your trip and make other insurance arrangements if personal belongings are not covered. Holiday insurance cover is also something to consider, particularly if there is any possibility of a late cancellation.

Contact Form & Email Submissions
If you submit an enquiry through our contact form or via email, that enquiry will be emailed to a mailbox monitored by employees of Oak Valley Campers, the email is then stored securely on our email server which enables us to respond to your enquiry.
Your enquiry may be forwarded to one or multiple mailboxes within Oak Valley Campers to ensure it is dealt with and acted upon by the apprioriate person. If you submit an enquiry through our contact form or via email a copy of that message will be stored on our web server and will be deleted after 14 days or once the enquiry is effectively dealt with.
SSL Encryption
This website utilises SSL encryption. Secure Sockets Layer (SSL) is a standard security technology for establishing an encrypted link between a server and a client—typically a web server (website) and a browser, or a mail server and a mail client (e.g., Outlook).

Website Backups
This website is backed up on a regular basis for security and disaster recovery purposes. The backups are stored securely with Dropbox. Services & Contracts
When you order a service with Oak Valley Campers, the company or individual details provided to us will be entered in to our accounting system. The details entered are Company or Individual Name, Contact Name, Contact Address, Contact Email Address.
It is important to note that accounting records relating to orders for services placed with Oak Valley Campers will be stored for a period in line with U.K. tax and accounting regulations. This period is set by the U.K. Government and is currently 6 years, or longer if the records show a transaction that covers more than one accounting period.
